PTO Committees & Clubs

Our PTO committees & clubs are the lifeblood of our organization! We could not put on events and support our school without all these amazing volunteers.

 

Committees & clubs are led by a chair (or co-chairs) who helps plan and organize other volunteers.

 

General responsibilities of committee chairs & club leaders:

  • Maintain a (digital) committee handbook with “to do lists,” fliers, invoices from suppliers, lists of names and contact info for vendors, donors, volunteers, etc., amounts of supplies needed for each event and other information relevant to the committee’s functions and responsibilities. This handbook will be passed on to the next committee chair.
  • Keep their VP on the Executive Board informed about the progress of their projects. VPs can assist committee chairs in recruiting volunteers.
  • Provide the PTO Secretary with the names and addresses of donors so we can send thank you notes.
  • Attend PTO meetings so you are aware of ongoing PTO matters and how they may impact your committee or club.

Book Fair 

Responsible for scheduling, organizing, and promoting the bi-annual book fair with Scholastic Books.  Volunteers’ tasks include cashier duties and helping kids find their purchases. The hours of operation during the week of the book fair are typically from 7:00 a.m. until 3:00 p.m. every day. Volunteer opportunities are offered in one-hour shirts or more if desired.

Boosterthon 

Responsible for working with the Boosterthon team and the VP of Fundraising to promote our annual Fun Run fundraiser. Decorates the school to match annual theme. Boosterthon is a 10 day fundraising event that takes place in September. The Boosterthon team is easy to work with and provides all the program information. 

Campus Beautification Committee 

Serves to maintain and enhance the outdoor school campus through organized clean-up and beautification volunteer days, individual landscape projects, and maintenance enhancements efforts.

Clothes Closet/Lost & Found 

Committee volunteers will organize lost and found items so that they are easily accessible. Volunteers also collect and organize donations of gently-used MES spiritwear and uniform clothing. The Chair sends out reminders to parents to collect lost items periodically. Volunteers put out donated and unclaimed clothes during various school events including Registration Day, Curriculum Nights, and some General PTO meetings so families can pick out items they need.

 

Community Liaison

Cultivates a friendly relationship between MES and our community. Including but not limited to: homes surrounding the MES campus, Brookhaven Police Department, and City of Brookhaven.

Cultural Arts Chair 

The Cultural Arts chair works with teachers and administrators to help identify talented artists who are also experienced working with children. The Cultural Arts chair will also coordinate logistics for the artist’s visit to the school and communications to the MES community. Cultural arts events usually take place during the school day. The goal is to provide cultural arts enrichment to the whole student body through various grade level appropriate events.

Endowment Fund (Business Relations + Outreach)

Cultivate and secure new business sponsorships. Keep a copy of all sponsorship documents and contracts. Maintain a detailed account of past and present business sponsors. Ensure that contracted business sponsorship commitments are met. Renew existing business sponsorships at least annually.

Family Movie Night Chair 

Works with the VP of Events to secure the date and place, coordinates the movie logistics with the media event group, and coordinates the event volunteers. Event volunteers help set-up and tear down the movie equipment, assist with clean up, and assist with outside groups who provide entertainment.

Field Day Coordinator

Works with PE teachers and field day committee volunteers to organize Field Day activities and day of volunteers. 

Fine Arts

This committee works closely with the Art and Music teachers to highlight students' work in the fine arts, both in our school and in our community! The Fine Arts committee works to ensure the success of grade-specific music performances and Fine Arts Night. Responsibilities include coordinating volunteers to assist with programs, decorating, crowd control, set up/clean up, photography and volunteer seating.

Garden Club  

Garden Club Chair helping organize and run the school’s Garden Club. You will work with the teacher and assist with registration for the club, obtaining help from parent volunteers and buying supplies and materials for the club (plants, soil, gloves, etc.). You will set up a table at registration showcasing the school gardens and providing information about the Garden Club. It is also recommended to participate in STEAM Night at school to showcase our garden.

Health + Safety 

Works to implement activities that promote good nutrition, physical activity, and a healthy lifestyle for our Montgomery community. Sponsors an annual flu shot clinic, walk to school days, and other events. Past events include the Mustang Marathon and Montgomery Moves! Shares health-related information and local happenings with the school via e-blasts, flyers, bulletin boards, and the Mustang Bulletin.

Holiday Luncheons 

Holiday luncheon chair organizes the table decorations for the event, which include the Grandparent/Significant Relative Luncheon, Thanksgiving Luncheon, and Holiday Luncheon. Volunteers assist in decorating tables in the cafeteria.

 

Inclusion Committee for Exceptional Children

Our mission is to promote awareness of disability within our school community, to identify barriers to educational access and social inclusion for exceptional children, and to work to overcome these barriers while creating a culture of acceptance. We plan Exceptional Children's Week events and educate our school community on how to be more inclusive of all students. We also advise the PTO on how to make our events and communications more inclusive! 

 

Literacy Night

Help organize a fun-filled evening family event that celebrates all things READING! Work with school staff, family volunteers, and local library staff to set up a variety of interactive reading activities all throughout the building. 

 

Math Night

Help organize a fun family event that gets students applying real-life math skills at our local grocery store! Work with PAC committee to organize student signups, math activities, teacher volunteers, and prizes. 

Mustang Bulletin Editor

Organizes, edits and adds flair to articles submitted for the weekly Mustang Bulletin. Builds and sends the Mustang Bulletin to PTO members every Friday using Membership Toolkit. Membership Toolkit is an easy program to use! 

Parent Social 

Organize a fun evening for parents to socialize and get to know each other. In the past it's been hosted at a clubhouse of some sort. Food to be coordinated ahead of time; available for pre-purchase. Get creative and make it your own!

Pre-K & K Roundup 

First days are always easier when you see a familiar face! Organize and publicize a playdate for incoming pre-kindergarten and kindergarten students and families prior to the school year starting. This can take place at the MES campus or a local park. 

Room Parent Coordinator

Recruits and organizes room parents for each class, facilitates volunteer opportunities within the classroom, communicates with room parents throughout the year about various school and class activities.

School Photo Chair 

Works with administrators, PTO leadership and photographer to arrange photo dates and times for fall and spring. Advertises photo dates, coordinates volunteer team to help on photo days to gather classes and alphabetize, tidy and organize students.

School Supplies 

Works with teachers, staff, and school supply company to put together grade level school supply lists for the following school year. Publicizes school supply kits and sales. 

School Tours & Open House  

Plans and organizes open house once-a-year. The chair puts together packets to be given out on the day of open house, and schedules volunteers to assist new parents in giving tours and answering questions about the school. Volunteers will prepare folders, greet prospective parents and give tours. Plans school tours monthly throughout the year by coordinating with Ms. Liddell and posting a sign up genius to the school website. 

Spirit Night

Responsible for organizing all aspects of Spirit Night each month. This includes selecting/contacting the restaurant and negotiating the deal; promoting the night through stickers, marquis, e-blast and newsletters; recruiting volunteers; attending the event; and collecting the proceeds. It is a great opportunity to support Montgomery and meet other families, all while having fun!

Spirit Wear 

Responsible for working with spiritwear vendor to create unique MES branded items, build an online store, and market to MES families. Spiritwear sales take place 2-3 times per year. Organizes distribution of spiritwear. 

Spring Picnic

Organizes a family picnic and/or movie night with outdoor movie, and food truck/Kona Ice/King of Pops, or food available to purchase ahead of time. Get creative and make it your own!

Staff Appreciation 

Staff Appreciation chairs organize the teacher appreciation week, which is typically the first week of May. This includes scheduling the teacher appreciation luncheon (food and door prizes) as well as other teacher appreciation meals throughout the week and year.  Volunteers assist by preparing food, donate gift certificates and assist in the classrooms so that all teachers and staff can enjoy their luncheon.

Staff & Teacher of the Month 

Solicits staff & teacher of the month nominations through room parent communications and the Mustang Bulletin. Tally the nominations and select a staff and a teacher of the month. Decorate a bulletin board at the front of the school to recognize the honorees. 

STEAM Night  

Solicits participation from students, coordinates participation of local science & tech experts, coordinates logistics and recruits volunteers for STEAM (Science, Technology, Engineering, Arts, & Math) Night.

 

STEAM Kids & STEAM Team (formerly Odyssey of the Mind Club)

STEAM Kids is a 4-week after-school extracurricular that introduces K-5 kids to out-of-the-box, creative thinking with fun, interactive, team-based challenges. Students must complete and attend the full series to audition for our World Finals-qualifying competition program, STEAM Team.

Website

The Website chair maintains the hosting, setup, and design of the website and e-communications templates. Makes annual updates to website as needed. They are the Technical Administrator of the website, which runs on a self-hosted Membership Tool Kit platform. They act in an advisory capacity to the Communications Team for issues that affect the web site and the Mustang Bulletin.

Yearbook 

The Yearbook chair organizes, edits and does the layout for the school yearbook, which can be purchased by parents, students and staff. Volunteers assist by taking and collecting photos of students and staff, and by helping edit the material for the yearbook.
